Proclamation and Citations

In the city of Sarasota, proclamations may be issued by the City Commission to acknowledge outstanding achievements or noteworthy occasions for local residents and organizations. Requests are evaluated on a case-by-case basis, considering their significance to the city and its residents.

Submitting a Request

Requests should be submitted to proclamation@sarasotafl.gov at least 30 days (but no more than 3 months) in advance to allow time for review and production. The City of Sarasota reserves the right to deny any request and to make exceptions to these guidelines.

Requests must include:

1. Your contact information and a list of those who will accept the recognition.
2. Background info on the event or organization, draft text (four "whereas" clauses for a proclamation).
3. Day, week, or month to be proclaimed (or the event or organization to be recognized).
4. How you would like to receive the document: special event (provide details, subject to Commissioner availability); by mail (provide mailing address), or at a Commission meeting (subject to availability)
5. Date needed. If you are requesting recognition at a Commission meeting, you may check the Commission meeting calendar and request a date; we will try to accommodate.

Review and Approval

Staff will review, and may edit or rewrite, the text provided.

Staff will contact you to confirm the receipt, schedule the presentation and (time permitting) provide the opportunity to review the final draft for accuracy.

Criteria and Guidelines

• Proclamations may be issued for a specific day, week, or month that holds local significance.
• The request must be submitted by a city resident or group.
• Personal proclamations for individuals or businesses will not be accepted. Individual accomplishments of local significance or milestone celebrations may be recognized with a congratulatory letter.
• An organization does not have exclusive rights to the day, week, or month of its proclamation.
• Proclamations are not automatically renewed - requests must be made on an annual basis.
• Multiple requests by an organization may not be honored in the same calendar year.
• To better determine whether a request can be fulfilled, please provide a draft of the proclamation.
